Overview

The Contacts page lists the people you work with at your accounts. Use it to find someone quickly, keep their details and roles up to date, and see the emails and meetings logged against them. Every contact belongs to exactly one account.

Where to find it

  • Open Accounts and choose the Contacts tab. It sits beside Portfolio, Value & Impact and Account Intelligence. The page lives at /crm/contacts.
  • Use global search (Ctrl+K) and type a name. Contact results show the account, title and email; select one to open the contact.
  • From a contact’s page, View all contacts opens the list filtered to that contact’s account.

The contacts list

The page heading is Contacts. On the right are the view toggle (card or table), Show Filters and + New Contact. The list opens in table view, with the most recently created contacts first.

Table view

The table has these columns:

  • Name: click the name to open the contact. A star marks a primary contact. On narrow screens the job title appears under the name.
  • Email: opens your email app.
  • Account: opens the account.
  • Title: the contact’s job title, or “-” if there isn’t one.
  • Phone: click to call, or “-” if there’s no number.
  • Status: a green tick for active contacts and a red cross for inactive ones.
  • Owner: the user who owns the contact.

On smaller screens some columns are hidden to save space. Email appears first as the window widens, then Title, then Phone, then Status and Owner. Name and Account are always shown.

Sorting

Click a column header to sort by it. The first click sorts ascending and the next click reverses it. A small arrow shows the current sort. You can sort by Name, Email, Account, Title, Phone and Owner. Status can’t be sorted.

Card view

Card view shows one card per contact with:

  • their name, title and an Inactive label when it applies;
  • email, phone and account;
  • their contact roles;
  • the owner and the last-updated date.

Click the name or View details → to open the contact. Card view keeps the current sort order but has no sort controls of its own.

Filtering and search

Click Show Filters to open the filters panel. It contains:

  • Search: matches name, email, title or phone.
  • Account: one account, or All Accounts.
  • Status: All, Active or Inactive.
  • Primary Contact: All, Primary Only or Non-Primary.
  • Owners: tick one or more owners.
  • Created Date Range: a start date and an end date.
  • Last Updated Date Range: a start date and an end date.

Filters, including search, apply only when you click Apply Filters. Pressing Enter in the search box doesn’t run the search. Click Reset to clear every filter and show all contacts again. Applying or resetting filters takes you back to page 1. Click Hide Filters to close the panel; the filters stay applied.

Pagination

When there is more than one page, controls appear under the list:

  • a count such as “Showing 1 to 10 of 126 results”;
  • Show: to change the page size (10, 25, 50 or 100; 10 by default);
  • numbered page buttons;
  • Go to: to jump to a page number.

Changing the page size takes you back to page 1.

Creating a contact

You need at least one account before you can add contacts. If your organisation has none, the page shows You need to create an account before adding contacts. with a Create an account link. See Accounts Portfolio.

  1. Click + New Contact on the list. You can also click Add contact on an account’s People tab, which picks that account for you.
  2. On Create New Contact, choose the Account.
  3. Enter the Name and a valid Email. Account, Name and Email are required.
  4. Optionally add a Title and Phone.
  5. Tick Primary Contact if this is the main person at the account. Active is ticked by default.
  6. Optionally tick one or more Contact Roles.
  7. Click Create Contact. The button shows Saving... while it works, and then the new contact’s page opens.

You become the contact’s owner. There is no owner field on the form. Cancel takes you back to the account if you started from one, or to the contacts list otherwise.

The contact page

At the top is the contact’s name, with a star if they are a primary contact and an Inactive label if they aren’t active. Their title appears underneath, and the Edit button is on the right.

Contact Information

  • Account: opens the account.
  • Email: opens your email app.
  • Phone: click to call, or Not specified.
  • Status: Active or Inactive, plus Primary Contact when it applies.
  • Created: the date the contact was added.

Roles

The contact’s contact roles appear as tags. This section only shows when the contact has at least one role.

Recent Communications

A timeline of the emails and meetings logged against this contact, newest first. Each entry shows:

  • a summary and a short excerpt;
  • how long ago it happened;
  • where it came from: Auto-logged, Manual entry or Awaiting approval.

Where available, an entry also shows the detected intent (“Intent: …”), a sentiment badge (POSITIVE, NEUTRAL or NEGATIVE) and topic tags. Insights processing… means the analysis hasn’t finished yet.

Emails that Google Workspace couldn’t match confidently are labelled Pending review. They show the note Review and assign in the Google Workspace queue to add this email to the opportunity timeline. Click Open Queue to open the Google Workspace manual review queue in a new tab. See Google Workspace for setting up and reviewing synced email.

  • Other Contacts → View all contacts opens the contacts list filtered to the same account.

Editing a contact

  1. On the contact’s page, click Edit. The page heading changes to Edit Contact.
  2. Change any field. Choosing a different Account moves the contact to that account.
  3. Click Update Contact to save, or Cancel to discard your changes.

After saving, you return to the contact’s page with the new details shown.

Deleting a contact

Deleting is permanent. It also removes the contact’s roles on every deal and all emails and meetings logged against them. Any action-plan items linked to the contact are removed too. If you only want to stop working with someone, untick Active instead.

  1. On the contact’s page, click Edit.
  2. Scroll below the form and click Delete Contact.
  3. Confirm the prompt Are you sure you want to delete this contact? This action cannot be undone.

When the delete is done you return to the contacts list.

Contact roles and roles in a deal

Summit53 keeps two kinds of role:

  • Contact roles belong to the person, such as Champion or Economic Buyer. You set them on the contact form under Contact Roles. They appear as tags on the contact’s page and in card view.
  • Role in deal belongs to one opportunity. It records how this person figures in that particular deal, with an influence score and notes. You set it on the opportunity, not on the contact. To add someone to a deal, linking an existing contact or creating a new one, see Opportunity Cockpit.

An account’s People tab lists the contacts at that account and has its own Add contact button. See Account Cockpit.

Exporting contacts

To download your contacts, open Resources → Spreadsheet Gallery, choose the Contacts sheet and click Download.

Loading, empty and error states

  • Loading: a spinner shows while the list or a contact loads. The timeline shows Loading recent activity….
  • No contacts: the list shows No contacts found. with a Create your first contact button. You’ll also see this when your filters match nobody.
  • Empty timeline: a message says no emails or meetings are logged yet and suggests connecting Google Workspace.
  • List error: Failed to load contacts. Please try again.
  • Contact error: Failed to load contact details. Please try again.
  • Save errors: Failed to create contact. Please try again., Failed to update contact. Please try again. or Failed to delete contact. Please try again.

Close any error message with its close button.

Troubleshooting

  • No contacts found. although you have contacts: click Reset in the filters panel to clear any filters.
  • Some columns are missing: widen the window. Email, Title, Phone, Status and Owner are hidden on narrower screens.
  • You can’t add a contact: if you see You need to create an account before adding contacts., create an account first.
  • The contact won’t save: check that Account, Name and a valid Email are filled in.
  • Recent Communications is empty: email and meetings appear once Google Workspace is connected and syncing. See Google Workspace.
  • An email shows Pending review: click Open Queue and assign it in the Google Workspace review queue.
  • Failed to load contact details.: the contact may have been deleted. Go back to the list and search for them.
