Overview

Meeting Capture turns a sales meeting into a transcript, an AI summary, key discussion points, action items and next steps, and attaches the result to the deal as a note. You can record live from your microphone or upload a recording from Zoom, Teams or another platform. Every capture is kept in Meeting History, where you can replay it, read the transcript and review objective coaching facts.

Before you start

  • Plan: Meeting Capture is part of the Ultimate plan. On other plans, starting a capture shows an error such as Ultimate subscription required or Meeting capture feature not available in your plan.
  • Your own deals: you can capture against opportunities you own. Starting a capture on someone else’s deal shows Opportunity not found.
  • Session length: a live recording stops automatically at 90 minutes.
  • Monthly cap: by default you can record up to 1,200 minutes (20 hours) in any 30-day period. Once you reach it, starting a capture shows Monthly recording limit exceeded.
  • Microphone: live recording needs your browser’s permission to use the microphone.

If Meeting Capture is not set up for your Summit53 environment, the capture page shows Meeting Capture unavailable and the Capture meeting button does not appear on opportunities.

Where to start a capture

  • From a deal: open the opportunity and select Capture meeting in the header. The capture page opens with the deal already linked.
  • From a calendar meeting: open the Meetings hub (/calendar). On the Agenda or Preparation tab, each meeting card shows its capture status (Capture Not started, In progress, Completed or Failed) and a Start capture button. If the meeting is linked to a deal, the capture is linked to it too.
  • From Meeting History: on the Meetings hub Captures tab, or at /crm/meeting-capture-history, select New Recording. You choose the deal when you attach the note.

Managers find Meetings in the Team section of the sidebar. Individual contributors open it from My Engine, using Open meetings hub next to TODAY’S MEETINGS.

Capturing a meeting: the four steps

The capture page is headed Meeting Capture, with the linked deal shown underneath and a View History button at the top. A progress bar tracks four steps: Setup, Capture, Review and Attach. Once a capture starts, a WEEKLY USAGE card shows your minutes remaining this week.

1. Setup — choose a method

  1. Under CHOOSE CAPTURE METHOD, select Live Microphone (“Record your voice during the meeting.”) or Upload Recording (“Upload from Zoom, Teams, or other platform.”).
  2. Select Start Recording or Start Upload Process.

2a. Capture — live microphone

  1. Under LIVE MICROPHONE RECORDING, select Start Recording and allow microphone access if your browser asks.
  2. A red indicator and a running timer (mm:ss) show that you are recording. Use Pause and Resume as needed; the timer stops while paused.
  3. Select Stop Recording when the meeting ends. The page shows Recording completed with the length, then Uploading and processing... with a percentage.
  4. When the upload finishes, the page moves to the Review step.
  • Auto-stop: at 85 minutes a warning counts down: Auto-stop in mm:ss (90-minute session limit). At 90 minutes the recording stops and uploads automatically.
  • Keep the tab open and in view: recording can be interrupted if you switch away or your screen locks. Summit53 asks your device to keep the screen awake while recording.
  • Interrupted recordings: if an earlier recording on this device was interrupted, you see Unfinished recording found from a previous session. Select Discard to clear it before starting a new recording.

2b. Capture — upload a recording

  1. Under UPLOAD MEETING RECORDING, drag your audio file onto the drop area, or select browse files. Accepted formats are listed as MP3, WAV, M4A, MP4, WebM · max 500 MB.
  2. Check the file name and size. Select Remove to choose a different file.
  3. Select Upload and Process. A progress bar shows the upload, then Upload complete, processing....

Uploaded recordings are processed with speaker diarisation, so different participants are identified in the transcript.

3. Review — check the meeting intelligence

While the recording is transcribed you see Processing transcript... and “This may take a few minutes depending on recording length.” The page checks for the result automatically. When it is ready, REVIEW MEETING INTELLIGENCE shows:

  • Meeting Summary
  • KEY DISCUSSION POINTS, numbered
  • ACTION ITEMS
  • NEXT STEPS, when any were detected
  • A strip with Words, Confidence, Speakers and Type (Single or Multi speaker)
  1. To correct anything, select Edit Content. Edit the summary, change any point or action item, use + Add to add one, or Remove to delete one.
  2. Select Continue to Create Note while still in edit mode. Your changes are saved to the meeting, which is then shown as transcript user-edited, and are used in the note.

4. Attach — create the opportunity note

  1. Under CREATE OPPORTUNITY NOTE, if the capture is not yet linked to a deal, choose one from Select Opportunity.
  2. Under SELECT CONTENT TO INCLUDE, tick the sections to add: Meeting Summary, Key Discussion Points and Action Items (each shows its count).
  3. Check the NOTE PREVIEW.
  4. Select Attach Note. Summit53 adds the note to the deal’s activity and takes you to the deal. Select Cancel to go back without attaching.

Using Meeting Capture on your phone

On browsers that support installing web apps, the capture page may show Add Summit53 to your home screen for quick access to meeting capture. Select Install to add Summit53 to your home screen, or the × to dismiss the banner for good. The banner does not appear once Summit53 is installed.

Meeting History

Open Meetings → Captures, select View History on the capture page, or go to /crm/meeting-capture-history. The page is headed Meeting History with the number of recordings, and a New Recording button.

  • Search: Search by title, filename, or summary...
  • Mine / Team: Mine shows your recordings. Team shows your team’s recordings if you have leader access.
  • Status filter: All statuses, Completed, Processing or Failed.
  • Columns: Title, Opportunity, Status, Duration, Date, Summary and Topics. Select Title, Status, Duration or Date to sort; select again to reverse the order.
  • Statuses: Recording, Uploading, Transcribing, Processing, Completed, Failed or Cancelled.

Select a row to open the meeting, or select the deal name to open the opportunity. When there are more recordings than fit on a page, page controls appear below the table. With no recordings you see No recordings yet, “Start your first meeting capture to see it here.” and a Capture a Meeting button.

Reviewing a recorded meeting

A meeting opens at /crm/meeting-capture/view/<id>. The breadcrumb reads CRM / Meeting Capture / Session #<id>; select Meeting Capture to return to the history.

Header and actions

  • The title is the meeting title, or the file name if there isn’t one, with the linked deal above it.
  • The line underneath shows when it was Recorded, its Duration, the Mode (live capture or upload capture) and its status, for example Completed · transcript user-edited.
  • Copy copies a text version of the meeting: title, date, deal, duration, summary, key points, action items, next steps and the transcript with speaker names.
  • Export downloads the same text as a .txt file.
  • Edit lets you rename the meeting. Type the new title and select Save. You see Saved, or Save failed if it did not save.

Key metrics

Six figures sit beside the title:

  • TALK-RATIO — share of talk time, rep / customer.
  • SENTIMENT — positive / neutral / negative.
  • ENGAGEMENT — the change in the customer’s share of voice from the first half of the call to the second.
  • MONOLOGUE — the longest uninterrupted stretch, in seconds.
  • SWITCHES — speaker changes per minute.
  • COMMITMENTS — commitments detected in the call.

Confirming speakers

When a recording has two or more speakers whose roles haven’t been confirmed, a SPEAKERS card shows each speaker labelled Rep or Cust with a name field.

  1. If the roles are the wrong way round, select Swap.
  2. Type each person’s name.
  3. Select Confirm speakers. The names are used throughout the transcript and in Copy and Export.

Timeline and playback

  • The timeline shows the call’s waveform, sentiment and markers for questions, commitments, risks and action items. Hover over a marker to read it.
  • Use the play/pause button to listen, and click anywhere on the timeline to jump to that point. The timecode shows your position and the total length.
  • Chapter buttons along the top jump to each chapter. A legend shows the colour for each speaker and for Silence.
  • Keyboard shortcuts (when you are not typing in a field): Space play/pause; ← / → back or forward 5 seconds; J / L back or forward 10 seconds.

Transcript

TRANSCRIPT shows the word count and transcription confidence, then the conversation line by line with speaker names. Select a line to jump playback there.

  • Filter with All, Rep, Customer, Q? (questions), ✓ (commitments) and ! (risks). Each filter shows its count.
  • Tick auto-scroll to keep the transcript in step with playback.

Action items, next steps and key points

The middle column lists the meeting’s ACTION ITEMS, NEXT STEPS and KEY POINTS for reference. Where an action item has a timestamp, select it to jump to that moment in the recording. To put these on the deal, attach them as a note during capture (step 4) or use Copy.

Coaching facts

COACHING — OBJECTIVE FACTS, tagged factual only, lists measurements taken from the recording with no subjective scoring: Talk-ratio, Customer engagement trend, Longest monologue, Interactivity, Interruptions, Questions asked, Filler-word rate and Sentiment mix. Some facts have a timestamp you can select to jump to the moment. Below them, ENGAGEMENT OVER TIME, TOPICS and ENTITIES summarise the conversation.

Troubleshooting

  • I can’t see Capture meeting on a deal. Meeting Capture isn’t set up for your Summit53 environment. Ask your administrator.
  • Starting a capture says Ultimate subscription required. Meeting Capture needs the Ultimate plan.
  • Opportunity not found when I start. You can only capture against deals you own. Ask the deal owner to capture, or have the deal reassigned.
  • Scheduled meeting not found. The meeting must be on your own connected calendar.
  • The microphone won’t start. Allow microphone access for Summit53 in your browser’s site settings, then select Start Recording again.
  • My file is rejected as an invalid format. Export or convert the recording to M4A or WebM and upload again, or record live instead.
  • Processing is taking a long time. Longer recordings take longer. You can leave the page; the meeting appears in Meeting History as Transcribing or Processing until it is ready.
  • A recording shows Recording or Uploading long after the meeting. The upload didn’t finish. Start a new capture, or upload the recording file if you have one.
  • The transcript has the rep and customer the wrong way round. Use Swap on the SPEAKERS card, then Confirm speakers.
  • Monthly recording limit exceeded. You have used your recording allowance for the last 30 days. Capacity frees up as older recordings fall outside the window.
